NEW and improved File status indicators in File Manager

We have introduced NEW and improved File status indicators in File Manager to prevent Customers from editing files at the same time.

These latest features are available when accessing your Agrimaster file via File Manager.

If your file is open, close the Agrimaster file and File Manager. You will then be prompted to update to the latest version. Please update without delay.

How do I know my Agrimaster or Wagemaster file is open?

When you log into File Manager with your User Number and are working on a file in Agrimaster or Wagemaster, File Manager now indicates the File Status as “This file is open on this computer”. mceclip0.png

How do I know if someone is logged in to File Manager with my User Number and the file open elsewhere?

If you have shared your User Number with other parties and they log in to File Manager to access your Agrimaster or Wagemaster file(s) on another computer, File Manager will now indicate the File status, “File in use by your user number on another computer”. mceclip3.png

The File Details screen indicates the File status as “File in use by your user number on another computer”.

If you wish to work on your Agrimaster or Wagemaster file(s) and they are open elsewhere, contact the other User and ask them to close the file(s). The file(s) will then back up to File Manager with that Users latest changes (NOTE: the other User must be connected to the Internet and logged in to File Manager when closing the files for changes to save) . Once the file has uploaded to File Manager, you can open the latest saved file and commence data entry.

How do I know if someone with a different User Number, who I have shared my file with, is using it?

Where you have shared your file with another User (i.e. Accountant or Consultant) and they have logged into File Manager to access your Agrimaster or Wagemaster file(s), File Manager will now indicate the File status as “File in use by <User’s Name>”. mceclip5.png

If you wish to work on your Agrimaster or Wagemaster file(s) and they are open elsewhere, contact the other User and ask them to close the file(s). The file(s) will then back up to File Manager with that Users latest changes (NOTE: In order for the changes to save, the other User must have been given Can View and Edit permissions, be connected to the Internet and logged in to File Manager when closing the files) . Once the file has uploaded to File Manager, you can open the latest saved file and commence data entry.

How do I use the NEW Open file - Read Only feature in File Manager?

File Manager now allows any User who has access to your Agrimaster or Wagemaster file(s) to open them in Read Only mode. This means, when they open your file via File Manager and attempt to make edits or additions, these changes will not be save to File Manager.

This new feature can be accessed in the File Details screen via Open file. Open file now provides a drop down arrow with two options:

  1. Open file - Edit (this feature allows Users to add or edit data to the file)

  2. Open file - Read Only (this feature allows Users to view data only, any changes made will NOT save)

The default option in File Manager is Open file, which allows you to open the file editing purposes. If the file is already open elsewhere, the system automatically opens the file as Read Only. mceclip7.png

If you have chosen to open a file in Read Only mode, the below prompt will show. It indicates you are about to open a file in Read Only mode, any changes you make to the file will not save to File Manager. mceclip8.png
Prior to the file opening, the Open file - Read Only prompt will ask you to confirm by clicking in the checkbox “I understand and wish to Proceed”. Now click on the blue button, Open- Read Only.

When you open a file from File Manager using the Open file – Read Only mode, the Agrimaster file will also indicate, the file is open bold red lettering”READ ONLY FILE” in all main menu screens (see below):

 In READ ONLY FILE mode, you can view data and run reports in Agrimaster as per normal. But, if you changes to the file, these will NOT be saved or backed up to File Manager.

This file is opened in a temporary location and will be cleared when File Manager is closed.

Other Users who have access to the file, will not see any indications that the file is opened by you in Read Only mode. Therefore, they can continue as usual and work on the file.

Even if another User has uploaded a newer version of the file, the Read Only version you have open will not be updated.

Upon closing the Read Only file, no record is added on to the File Manager history.

How do I use the NEW Add Notes to a file feature in File Manager?

File Manager now allows Users to Add Notes to Agrimaster or Wagemaster file(s) revisions. This will allow you to describe or track changes made to the file(s).

You are able to add/edit a Notes to a current or past revision file.

The Note and its contents are visible to all Users who have access to the file.

To add a revision Note, navigate to the correct date from the file history, click on the drop down arrow and select, Add Notemceclip11.png

A pop up will now appear. Enter the description for the Note, click on Save. You are able to enter 150 characters of any type. mceclip12.png
 The Note icon mceclip13.png appears in the revision history. By hovering the mouse over the Note it will display it’s content.

To edit a note, navigate to the file revision in the File history panel. Click on the drop down menu and select Edit Note. Once the changes have been made, select Save. mceclip15.png
To delete a note, navigate to file revision in the File history panel, click on Edit Note. Hi-light and delete the description, select Save.

NOTE: Only the User who originally adds a Note, has ability to edit or delete the Note in question.

How do I use the NEW feature - open previous file for revision as Read Only in File Manager

In File Manager, you can now open a previous Agrimaster or Wagemaster revision file as Read Only. This will allow you to view data, compare data to a newer version or to import data into newer versions of the file.

To open a read only version of a revision, navigate to the revision in the File history panel.

Click on the drop down menu and select Open file – Read Onlymceclip16.png

Agrimaster will show the file is in open in Read Only mode by:

  • Agrimaster indicates the file is open in bold red lettering ”READ ONLY FILE” in all main menu screens.

  • The Agrimaster file header path at the top of the screen indicates READ ONLY FILE. mceclip19.png

  • In READ ONLY FILE mode, you can view data and run reports in Agrimaster as per normal. But, if you changes to the file, these will NOT be saved or backed up to File Manager.
